Refund and Cancellation Policy

This Refund and Cancellation Policy applies to consultancy services provided by City Coast Country Property Trading.

Because our business provides professional services rather than physical goods, refunds and cancellations are handled differently from retail purchases.

1. Scope

This Policy applies to services including consultancy, advisory work, project support, strategy input, meetings, reviews, and related professional services, unless separate written terms have been agreed with a client.

2. Client Cancellations Before Work Starts

If you wish to cancel a confirmed booking, project, or engagement before work has started, please contact us as soon as possible at contact@consultcart.net.

Where no work has started and no costs have been incurred, we will usually cancel future charges.

However, we reserve the right to charge for non-refundable third-party costs already incurred on your behalf, time already spent on preparation, scoping, or scheduling, and any administrative costs reasonably incurred in setting up the engagement.

3. Cancellations After Work Has Started

If you cancel after we have started work, you remain responsible for paying for all work completed up to the date of cancellation, any committed time reserved for your project, any non-cancellable third-party costs or expenses incurred with your authority, and any agreed minimum fee or staged payment already earned under the engagement terms.

Where work is billed on a time basis, charges will be calculated by reference to time spent up to cancellation.

Where work is billed on a fixed-fee basis, we may charge a fair and reasonable proportion of the agreed fee reflecting work completed and resources committed.

4. Scheduled Calls, Meetings and Workshops

If your engagement includes meetings, workshops, or consultancy calls:
- cancellations or rescheduling with at least 2 working days' notice will normally not incur a cancellation fee;
- cancellations with less than 2 working days' notice may be charged in full or in part;
- non-attendance without notice may be treated as a late cancellation and charged in full.

You may wish to replace this notice period with a different timeframe if that better reflects how you work.

5. Refunds

We do not generally offer refunds for time already spent, services already delivered, or work carried out in accordance with an agreed brief.

That said, if you believe we have made an error in billing or there is a genuine service issue, please contact us promptly and we will review the matter fairly and in good faith.

Refunds may be considered where we have invoiced incorrectly, we are unable to deliver agreed services for reasons within our control, or both parties agree that a refund or partial refund is appropriate in the circumstances.

Any refund agreed will normally be made using the original payment method unless otherwise agreed.

6. Our Right to Cancel or Reschedule

We may need to cancel, postpone, or reschedule services where reasonably necessary, including due to illness, unavailability, force majeure, lack of client information, or circumstances outside our control.

If this happens, we will aim to give reasonable notice and, where appropriate, offer rescheduling, a revised timetable, an alternative format for delivery, or a fair partial refund for services paid for but not provided.

7. Ongoing or Retained Services

For ongoing monthly or retained services, either party may cancel in accordance with the notice period set out in the relevant service agreement or proposal. If no separate period is agreed, a default notice period of 30 days in writing shall apply.

Fees accrued up to the end of the notice period remain payable.

9. Related Terms

This Policy should be read alongside any proposal, statement of work, engagement letter, or Client Services Agreement that applies to the services in question. If there is any inconsistency, the agreed service contract will usually take priority.
